The fields, and one example of each line
Headed INTERIOR DESIGN INVOICE: hours first, then Transportation, then Receipts.
Hours
Description, hours and rate.
Transportation
A note and the amount for each trip.
Receipts
A note and an amount.
Client name
The homeowner on a residential job; the business that signed on a commercial one.
The basics
Name, email, any tax or business number, invoice number, date, due days, how to pay.
Currency and tax
Optional. Tax is worked out on hours and transportation; type receipts with tax included.
Note
Use it for the project name, a deposit already received, or the period the invoice covers.
| Line | Detail | Amount |
|---|---|---|
| Design consultation, Chen living room | 3 hours at $90.00 | $270.00 |
| Transportation: showroom visit | Travel to the showroom | $18.24 |
| Receipt: fabric samples | At the amount paid | $42.50 |
Three example rows, $330.74 before tax. An example, not a suggested rate.
What to include on a design invoice
The client wants to see your hours and what you spent for them.
- Your name and how to reach you
- The client, and the project name
- Hours, with the date or the phase on each line
- Transportation and receipts on their own lines
- The total
- How to pay, and by when
Keep time and spending on separate lines, so neither is mistaken for the other.
| Description | Hours | Rate | Amount |
|---|---|---|---|
| Concept boards, kitchen | 3 | rate | total |
| Site measure and photos | 2 | rate | total |
Project, deposits, transportation and receipts
Name the project
One client may have two or three jobs running. Put the project name in the note.
Deposits and retainers
No deposit line: note the amount and date, bill the hours as normal, and keep your rate.
Transportation
Add each drive worth billing, like a showroom or site visit. Each prints as its own line.
The transportation amount
Yours to set; the generator never fills one in. Agree it with the client before the job.
Receipts
Type the amount exactly as on the receipt. The generator adds nothing to it.
Keep the paper
The invoice does not attach the photo, so send a copy if the client asks.
When to send it
Match the invoice to how the job is paid.
Hourly work on a running project
Monthly, on the same date each month, covering the hours since the last invoice.
A project with phases
At the end of each phase, with the phase named in the note.
Reimbursables
On the next invoice after you spend the money, not at the end of the project.
A short consultation
The same day, while the client still remembers the value of the visit.
Set a due date when you send it. Fourteen days is common, thirty for larger companies.
Questions designers ask
Short answers about the generator itself.
Can I bill a flat fee with this?
Enter 1 as the hours and the fee as the rate, and describe the deliverable.
Is my invoice stored anywhere?
No. It is built in your browser and nothing is uploaded. Close the tab and it is gone.
Does this give tax advice?
No. Fill in tax only if you charge it. Whether you should is for an accountant to say.
The free template, and the app
The generator is free. It has no account, and it forgets everything when you close the tab, so save the PDF.
TrackWork keeps the record: log your hours as you work, and the invoice is made from them.
Keep this invoice, under the form, moves the hours you entered into the app.
Your first 10 sessions are free. See pricing.
