The fields, and the three kinds of line
Headed CONTRACTOR INVOICE: labor first, then Transportation, then Receipts.
Labor
Description, hours and rate. One line per kind of work.
Transportation
A note and the amount for each trip. It prints as its own Transportation line.
Receipts
A note and an amount. Use it for the materials you bought for the job.
Client name
Whoever pays. That may be a homeowner, a general contractor or a property manager.
The basics
Name, email, any tax or business number, invoice number, date, due days, how to pay.
Currency and tax
Optional. Tax is worked out on hours and transportation; type materials with tax included.
What a client wants to see
A client who can read the invoice without calling you pays sooner.
- Your name and how to reach you
- The client, and the job it is for
- Labor hours, with the date or the task on each line
- Materials and transportation on their own lines
- The total
- How to pay, and by when
One labor line with no hours gets questioned. Show the hours and the rate.
| Description | Hours | Rate | Amount |
|---|---|---|---|
| Labor, install faucet and shutoff valves | 3 | rate | total |
| Labor, replace outlets | 2 | rate | total |
Hours, transportation and receipts, kept apart
Keep time and spending separate, so hours read as hours and parts as parts.
One invoice per job
Give each job its own invoice, and name the job in the note.
Date every labor line
Two hours Tuesday and three Thursday is easier to check than five with no dates.
Transportation
Add each drive you bill, like the supply house or job site. Each prints as its own line.
The transportation amount
Yours to set; the generator never fills one in. Agree it with the client before the job.
Materials receipts
Type the amount exactly as on the receipt, and say in the note what it was for.
Keep the paper
The invoice does not attach the photo. Photograph each receipt on the day.
When to send it
Match the invoice to how the job is paid.
A job for a homeowner
When the work is done. The job is fresh, and nobody has to remember what you did.
Weekly work for a general contractor
At the end of each week, with the hours for the week, and the same day every time.
Materials you paid for
On the next invoice after you spend the money, not a month of purchases at once.
A long job for a business
Once a month, on the same date, covering the hours since the last invoice.
Set a due date: on receipt or in a number of days, the same terms for every client.
Questions contractors ask
Short answers about the generator itself.
Can I add a helper to the invoice?
Not as a person. Put the combined hours on the labor line and name who worked.
Where do I put my tax or business number?
In the form, with your name. It prints on the invoice.
Is my invoice stored anywhere?
No. It is built in your browser and nothing is uploaded. Close the tab and it is gone.
Does this give tax advice?
No. Fill in tax only if you charge it. Whether you should is for an accountant to say.
The free template, and the app
The generator is free. It has no account, and it forgets everything when you close the tab, so save the PDF.
TrackWork keeps the record: log your hours as you work, and the invoice is made from them.
Keep this invoice, under the form, moves the hours you entered into the app.
Your first 10 sessions are free. See pricing.
